Security Measures for Your Family Archive

Every document, recording, and photograph entrusted to us is protected through layered access controls, encrypted transfers, and documented incident response procedures. We treat your family's history with the same rigor we would apply to our own records.

Access Control

Role-Based Permissions for Every Collection

Only authorized staff members can view or modify your archival materials. Each project is assigned a dedicated team with individual credentials, and every access event is logged. Clients receive read-only links for review, never direct editing rights.

Data Protection

Encrypted Storage and Secure Transfers

All digitized files are stored on encrypted servers with redundant backups in separate geographic locations. When we send previews or final deliverables, transfers use secure channels with expiration dates, so your materials never linger in an inbox.

Payment Security

Card Processing Without Stored Details

Payments are handled through PCI-compliant processors, and we never retain your card information on our systems. Invoices and receipts are issued through encrypted email, and payment records are kept separate from your archival files.

Incident Response

Clear Protocol for Any Security Event

If a breach or unauthorized access is detected, our response team follows a documented procedure: isolate the affected system, assess the scope, notify affected clients within 72 hours, and provide a written summary of corrective actions taken.

Physical Safeguards

Climate-Controlled Storage With Limited Entry

Original documents and photographs are kept in a locked, climate-controlled facility with restricted access. Entry is logged and monitored, and materials are handled only by trained conservators using proper archival techniques.

Client Verification

Identity Checks Before Any Release

Before we release originals or share sensitive files, we verify the requester's identity through a two-step confirmation process. This applies to both digital deliveries and physical pickups, ensuring your materials only reach the right hands.

If you have questions about how your materials are protected, contact our team at info@survivorholdingcompany.com or call +60 18 865 9454.

Questions families ask before starting an archive

We hear the same concerns again and again: what to keep, how to store it, and whether digitizing will damage the originals. Here are clear answers based on our daily work with personal collections.

If your situation is more specific, we are happy to look at your materials and give a conservation assessment without obligation.

What should I keep and what can I let go of?

Keep anything with a clear story attached: letters, diaries, photographs with names or dates on the back, and objects that appear in family stories. Duplicates, faded receipts, and unlabeled prints usually do not add enough context to justify the storage space. When in doubt, keep the item and let us help you decide during a conservation assessment.

Will scanning damage my original photographs?

No, not if it is done properly. We use flatbed scanners with no auto-feed, so each print stays flat and untouched during the scan. The original is never bent, stapled, or exposed to bright light for more than a few seconds. After scanning, we return the originals in acid-free sleeves so they stay protected.

How long does it take to digitize a typical family collection?

A shoebox of about 200 photographs usually takes two to three working days. A larger collection with letters, albums, and loose documents can take one to two weeks. We work in batches and give you a clear timeline before we start, so you know exactly when to expect the digital files.

Do you store the physical originals after digitization?

We do not keep your originals. Our job is to digitize and organize them, then return everything to you with recommendations for climate-controlled storage. For fragile items, we can suggest archival boxes and sleeves, but the physical collection stays in your hands.

Can you help with oral history recordings even if I have no equipment?

Yes. We bring professional lapel microphones, a portable recorder, and a quiet setup to your home or another location of your choice. We also prepare a question list based on your family's history, so the session feels like a conversation rather than an interview.

What format will my digital archive be delivered in?

You receive high-resolution TIFF files for preservation and JPEG copies for everyday viewing. We also create a simple folder structure with clear names, so you can find any document or photo without a special software. If you want a searchable index, we can add a spreadsheet or a PDF catalog.
